One or more consignments being exported on the same vessel or flight may be submitted to TSW by a customs/freight broker business to obtain low-value clearance.
Important: Please ensure that you are registered for TSW and have completed the steps outlined under Setting up Trade Single Window (TSW) access before continuing any further. Also, a declarant code and PIN will be necessary
Note: This function is not available to all countries; please see Countries having support for TSW EDI messaging for further details.
Step 1. Enter consignment data
Create a separate consignment for each housebill to be included on the cargo report.
A consignment may be created via either Add Consignment or by Confirming Supply of an order.
Note: It is possible that another party has already entered the consignment data on your behalf (such as when the origin forwarder has assigned you as the forwarder for the shipment). If that is the case, then please move on to Step 2.
Ensure that the following data is entered:
- Consolidation criteria is met as stated HERE
The close-off premises (shipment tab) should also be stated where goods have been moved to an authorised premises (this is normally the case for air freight or LCL cargo)
- Consignor and Consignee name and address details
- Enter container (where applicable) and packaging details from the Packages Tab
You will need to provide details such as the weight, number or packages and package type. Also, where known a container number for containerized sea freight cargo.
Note: for containerised cargo and where known it is possible to state which container hold particular products by entering a matching Line ID in a package and product
- Enter products from the Products Tab
You will need to provide such details as the currency and value, a description, a manufacture/origin country, the number and type of packages, and a weight and volume.
Step 2. Review the cargo report document
It is always best to view the cargo report document as this will tell you which consignments will be included on the cargo report.
- Choose one of the consignments entered above as the sending consignment
- Open this consignment to the shipment tab (leg 1) and click on the Cargo Report button
- Click View Document to review
4. Ensure that all consignments that you wish to have included on the cargo report are displayed and that the data is correct. If any consignments are not displayed then ensure that the data for shipment leg one matches as per Step 1 above.
Step 3. Send the cargo report (EDI) to TSW
- Click on the Send (EDI) button
- You will then be prompted to enter your declarant code and PIN. Once done click the OK successful,
- If the send was successful, the window will close; continue onto Step 5.
- If there was a problem, then continue to step 4.
Step 4. Correct errors when a send fails
Error messages will appear at the top of the window and will indicate to you what data must be amended.
The housebill number will be stated where the error refers to a particular consignment. Also, for product data the line number will be stated.
Once the data has been amended you can follow steps 2 and 3 to Send the cargo report again.
Step 5: Monitor the status of your cargo report
Occasionally return to the outbound report window to see if the status has changed.
You will see a sent date and time displayed once the cargo report has been successfully submitted to TSW.
When a response is received from TSW you should then see a received date and time displayed as well as a TSW Reference. Check the Log to confirm the status and the details of any error messages.
If the cargo report is rejected by TSW then make your amendments as necessary, then return to the Outbound Report window and click Send (EDI) again.
