This article will describe the process for cancelling a declaration.


While the focus is for import declarations, the process is the same for export declarations. 


Note: that only the latest version of a declaration may be cancelled, and it must have been previously lodged and have a reference number.


Recommendation

First check with the Customs department before cancelling the declaration to ensure that this is the correct procedure.


Cancelling a declaration to resolve payment issues is generally not allowed and must be resolved externally through the revenue department.



Replacing an existing declaration

The Hold Cancellation function can be used to lodge a replacement declaration.  Once the replacement has been processed by Customs, the previous declaration can then be cancelled.


This function is often needed for scenarios such as the wrong importer being stated on an import declaration or when the message type was lodged incorrectly.


Steps

1. Use the Cancel Declaration option

From the Declarations tab, select Cancel Declaration.



2. Place the current declaration on hold for cancellation


On the cancellation window, leave Hold Cancellation ticked and select OK.


The Declaration screen will now display the Status as Holding Cancellation.




3. Lodge the replacement declaration

The replacement declaration can now be lodged from the same consignment.


Do this by selecting Amend from the Declarations tab.


The version number will be updated to reflect the new declaration.   In this instance we had an 'Original' version and after selecting Amend, it now displays 'Amendment 1'.


Make any necessary changes.  For example, change the importer code or the message type.


Then select OK to compile the new declaration.


If successful, the new declaration can then be lodged by completing the Sign-off step.


Prior to signing off, be sure to attach any documents again if necessary.




4. Cancel the previous declaration


Once a status and reference numbers have been returned for the replacement declaration, the previous declaration can be cancelled.


From the Declarations tab, select the previous version from the versions drop down (in this example the Original version).

The Status should now display 'Holding Cancellation'


Then select 'Cancel Declaration'


The cancellation window will be pre-populated with the reference numbers for the replacement declaration.

These are provided to the Customs officer for reference and will ensure faster processing.


The reason text can be modified to provide further details.


Then enter your PIN and select OK to submit the Cancellation.





Send a Cancellation (without a replacement)


A cancellation for a declaration can be sent without first lodging a replacement.

This may be needed for scenarios where the goods were not shipped, or the clearance has been duplicated.


To cancel a declaration without any replacement, use the 'Cancel Declaration' option from the Declarations tab.


From the Cancellation window:


1. Untick 'Hold Cancellation'

2. Enter a Cancellation Reason

3. Enter your PIN and select OK to send the cancellation
